Library vs. Workspace: Which one should I use?

Library and Workspace both offer many similar functionalities. However:

  • Workspace offers one key differentiating feature i.e. ballots. This makes Workspace the ideal repository to host meeting minutes so that committee staff can create a ballot for approval of draft meeting minutes, and committee members can provide their approval, edits, or rejection via this ballot. Results of such voting is recorded in the system and can be viewed, shared, and/or archived by committee staff as needed.
  • Library offers the ability to hold very large files (up to 1GB for each file) and thus the preferred option when posting large webinar recordings, videos, or photos.

Some early adopters committees (CMPD & CIPI) have leveraged these two features to rethink how they engage with their committees and streamline committee meetings e.g. one committee has parsed out presentations associated with an agenda book and posted these as separate files in the Library; the agenda book then contains links to these presentations and thus the agenda book is not held up if one submission is delayed. Another committee is moving away from PowerPoint updates and instead creating video updates that are then posted in the Library. Early member feedback on both these innovative approaches has been very positive.
